Filling out the Kroll Data Upload Template

Overview

The Kroll Data Upload Template file is used to upload Valuation data records (building name, gross floor area, client declared value, etc.) to the system automatically without having the manually enter each record in the system.

The Field Options tab on the spreadsheet describes the required values for the fields with dropdown menu options, helping you when filling out the other tabs on the spreadsheet.

User Account Requirements

The User must have Administrator permissions to upload the Kroll Data Upload Template file.

Filling out the Kroll Data Upload Template

You will be provided with with the Kroll Data Upload Template during your initial implementation.

  1. Open the Kroll Data Upload Template.

Note:
Sheet can be access at the bottom of the spreadsheet by clicking on the corresponding tab.

Project Sheet

  • On the Projects sheet, enter the following Project information:
  • (Required) External Reference ID: Enter an External Reference ID using alphanumeric characters that are unique to the Org. An External Reference ID is an external Identifier used in Background activities, APIs, etc. to identify the Project within the system.
  • (Required) Name: Enter a Project Name using alphanumeric characters.
  • Description: Enter a Project Description. A Project Description is a brief description outlining the project adding more detail that will help to differentiate projects for one another.
  • DATESTARTE: Enter the date the Project started using the date format YYYY/MM/DD.
  • PROJECTFIL: Enter a URL web link to link to Valuation data outside of the system.
  • Project: Enter a Project Workflow State.
    • Ready for Valuation
    • Archived
    • Flagged for Review
    • Survey

Project Sheet

Location Sheet

  • On the Location sheet, enter the following Location information:
  • External Ref ID: Enter an External Reference ID using alphanumeric characters that are unique to the Org. An External Reference ID is an external Identifier used in Background activities, APIs, etc. to identify the Location within the system.
  • Name: Enter a Location Name using alphanumeric characters.
  • Description: Enter a Location Description. A Location Description is a brief description outlining the project adding more detail that will help to differentiate projects for one another.
  • Locations: Enter a Location current Workflow State. 
    • Ready for Valuation
    • Archived
    • Flagged for Review
    • Survey

Location Sheet

Building Sheet

  • On the Building sheet, enter the following Building information:
  • External Ref ID: Enter an External Reference ID using alphanumeric characters that are unique to the Org. An External Reference ID is an external Identifier used in Background activities, APIs, etc. to identify the Location within the system.
  • Name: Enter a Building Name using alphanumeric characters.
  • LISTEDBUIL: Enter whether the Building is historically listed (Yes, No).
  • BUILDINGTY: Enter a Building Occupancy Type.
  • INSURANCEV: Enter the Building Client Declared Value. The Building Client Declared Value is the total amount the Building is covered if a rebuild is required. The risk of a building and portfolio can only be accurately assessed if the Building Client Declared Value is accurate.
  • FLOORS: Enter the number of floors within the Building.
  • GROSSFLOOR: Enter the Gross Floor Area of the building without including commas. The Gross Floor Area is used to determine the Building's replacement cost. The Gross Floor Area is calculated by multiplying the Building's footprint by the number of floors (including the basement). For Building with floors that are not the same size, you must calculate the area of each floor and add the floors together.
  • CDVCURRENC: Enter a three digit Local Currency country code (e.g., CAD, EUR, etc.). The Local Currency is applied to the Building Client Declared Value field. 
  • COUNTRYNAM: Enter the Country Name where the Building is located.
  • AREA-UNITO: Enter the unit of measurement for Gross Floor Area and Footprint Area (Square Feet or Square Meters).
  • HEIGHT-UNI: Enter the unit of measure for Building's Total Height and Average Floor Height (Feet or Meters).
  • REPORTINGC: Enter a Reporting Currency country code (e.g., CAD, EUR, etc.). The Report Currency is applied to the Building Client Declared Value on all reports.
  • BUILDINGTO: Enter the Building's Total Height. The Building Total Height is calculated by measuring from the highest point to the lowest point of the Building.
  • WALLTYPE: Enter the Building's Wall Type. If more than one Wall Type is used, select the predominant Wall Type unless a more expensive Wall Type is used.
  • FRAMETYPE: Enter the Building's Frame Type. If more than one Frame Type is used, select the predominate Frame Type unless a more expensive Frame Type is used.
  • BASEMENTAR: Enter the Building's Footprint Area. The Footprint Area is the land the Building covers with its exterior walls.
  • AVERAGEFLO: Enter the Building's Average Floor Height. The Average Floor Height is calculated by dividing the Building's total height by the number of floors.
  • UNIQUE&COM: Indicate whether the building has Unique design features or complex construction are characteristics (e.g., a large construction project, intricate site accessibility, demanding project timeline that would require highly qualified architects, engineers, structural engineers, suppliers, and labor).

  • geo-houseNumber: Enter the Building Number from the Building's standard address.
  • geo-street: Enter the Street Name from the Building's standard address.
  • geo-city: Enter the City Name from the Building's standard address.
  • geo-zipcode: Enter the Zip Code/Postal Code from the Building's standard address.
  • geo-latitude: Enter the Latitude coordinate for the Buildings location in degrees.
  • geo-longitude:  Enter the Longitude coordinate for the Buildings location degrees.
  • Property: Enter the Building's current Workflow State:

Building Sheet

L-Building Sheet

The L-Building sheet allows users to map the relationships between Locations and Buildings.

  • On the L-Building sheet, enter the following Building information:
    • OB1 Ext Ref ID: Enter the Location's External Reference ID. An External Reference ID is an external Identifier used in Background activities, APIs, etc. to identify the Location within the system.
    • Object Name: Enter the Location's Name.
    • OB2 Ext Ref ID: Enter the Building's External Reference ID.  An External Reference ID is an external Identifier used in Background activities, APIs, etc. to identify the Location within the system.
    • Object Name: Enter the Building's Name.

L-Building Sheet

P-Building Sheet

The P-Building sheet allows users to map the relationships between Projects and Buildings.

  • On the P-Building sheet, enter the following Building information:
    • OB1 Ext Ref ID: Enter the Project's External Reference ID. An External Reference ID is an external Identifier used in Background activities, APIs, etc. to identify the Location within the system.
    • Object Name: Enter the Project's Name.
    • OB2 Ext Ref ID: Enter the Building's External Reference ID.  An External Reference ID is an external Identifier used in Background activities, APIs, etc. to identify the Location within the system.
    • Object Name: Enter the Building's Name.

P-Building Sheet

A-Building

The A-Building sheet allows users to map the relationships between Accounts and Buildings.

  • On the A-Building sheet, enter the following Building information:
    • OB1 Ext Ref ID: Enter the Account's External Reference ID. An External Reference ID is an external Identifier used in Background activities, APIs, etc. to identify the Location within the system.
    • Object Name: Enter the Account's Name.
    • OB2 Ext Ref ID: Enter the Building's External Reference ID.  An External Reference ID is an external Identifier used in Background activities, APIs, etc. to identify the Location within the system.
    • Object Name: Enter the Building's Name.

A-Building Sheet

G-Building

The G-Building sheet allows users to map the relationships between Groups and Buildings.

  • On the G-Building sheet, enter the following Building information:
    • OB1 Ext Ref ID: Enter the Group's External Reference ID. An External Reference ID is an external Identifier used in Background activities, APIs, etc. to identify the Location within the system.
    • Object Name: Enter the Group's Name.
    • OB2 Ext Ref ID: Enter the Building's External Reference ID.  An External Reference ID is an external Identifier used in Background activities, APIs, etc. to identify the Location within the system.
    • Object Name: Enter the Building's Name.

G-Building Sheet
